Air France: Unique Web Roster Set Up
The Air France Web Roster set up allows agents to swap shifts and enter preferences for their vacation or holiday plans over the internet from home.

In August 2004, Air France signed a contract for the implementation of INFORM’s GroundStar systems for planning, rostering and real-time allocation of passenger service, ramp and apron personnel at 14 airports in France. Today about 13,000 resources are planned, rostered and allocated using GroundStar at Air France’s ground handling operation, with Orly, Lyon, Marseilles and Nice being the largest stations after Charles de Gaulle Airport in Paris. Furthermore, the system has been rolled-out internationally to the Air France operation at John F. Kennedy International Airport, USA for example, as well as in the French island of Réunion, in the Indian Ocean east of Madagascar.

One of the most recent milestones in the project has been to complete the rollout of Web Roster at all stations. Web Roster is a web based agent and management self-service facility developed and maintained by INFORM’s implementation partner Axedo, which is based on and integrated with GroundStar Rostering. Functionalities such as viewing personal schedules and shift changes are provided by means of a web interface that can be accessed by the agents using the enterprise intranet for example. Air France has even extended this idea of flexibility for its agents and established internet access to the web roster. As of July 2011 Air France ground handling agents have full access to their roster at any time and from any location. This drastically reduces the paperwork involved in entering shift preferences or vacation planning. Shift trading and shift exchanges between agents are also possible without the need for interaction with the planner, and guarantee compliance with work regulations. This means also that the planner’s workload is significantly reduced because time-consuming paper work becomes obsolete. The system can also carry out complex routine work such as the optimization of a shift plan taking account of vacation requests.

“Web Roster helps us to meet statutory requirements such as considering our agents’ vacation requests and having a balanced shift plan that complies with the labor union agreements. This technology is essential for us to ensure satisfied agents on the one hand, while reducing costs and optimizing staff rostering on the other,” says Mr. Mehdi Mansour, Air France Project Manager for GroundStar.

In her speech about the Web Roster implementation and rollout during the last INFORM user conference, the former Air France Project Manager Mrs. Cecile Flasaquier stated that “the new economic situation made it necessary to cut costs and focus on the control of manpower levels. Demand and resource availability need to be reevaluated each week. The combination of GroundStar Planning, Rostering and Web Roster has enabled Air France to cut permanent and, in particular, temporary manpower significantly whilst constantly upholding and adapting the social dialogue.”

This refers not only to Web Roster as the employee front-end but also to aspects like the daily export of all rostering data to the Air France datawarehouse. We are looking forward to the implementation of the upcoming version 6 of Web Roster which will provide even more comfort and flexibility to the agents. Major new features are a completely redesigned Web Roster user interface, shift exchanges between employee groups and holiday swaps,” says Mr. Carsten Söhrens, INFORM Project Manager for Air France.
